Orchestra Manager

The Adelaide Symphony Orchestra is seeking a dynamic and relationship-driven Orchestra Manager to support our musicians and help deliver exceptional artistic experiences

As Orchestra Manager, you will ensure the smooth coordination of rehearsals, performances and musical activities, working closely with our musicians, artistic team and external partners. This role calls for someone with a deep understanding of orchestral music, who brings empathy, exceptional communication skills, and the ability to thrive in a dynamic artistic environment.

The Orchestra Manager is responsible for managing the day-to-day activities of the orchestra, with the following top-line key responsibilities:

  • Oversee all musician-related activities across the full scope of the ASO’s artistic schedule.
  • Build strong, trusting relationships with our musicians, supporting respectful, solutions-focused communication.
  • Duty manage rehearsals, performances, tours and other orchestral activities, working collaboratively with the Orchestra Coordinator.
  • Manage rostering, workforce planning, recruitment processes, and payroll information with accuracy and attention to detail.
  • Collaborate with the artistic team on planning, scheduling, and seasonal programming.
  • Manage the orchestra in alignment with the industrial agreement.
  • Represent the Orchestra Management team in all activities, liaising with other departments and stakeholders to ensure smooth and efficient management of all orchestral activities.

Due to the nature of this position, a flexible roster will apply, involving both weekend and evening work. Ability to undertake touring/travel (mainly within SA, internationally as required) is a requirement of the position

Customer Service Coordinator

The Adelaide Symphony Orchestra is seeking an enthusiastic and service-driven Customer Service Coordinator to support our patrons, visitors and artistic community, helping us deliver exceptional experiences from their very first point of contact. As the Customer Service Coordinator, you will be the welcoming face of the ASO, managing the Grainger Studio reception with warmth and professionalism.

You’ll work closely with the Ticketing and Customer Service Manager, Box Office colleagues, and teams across the organisation. Your key responsibilities will be:

  • Providing warm, professional customer service to ASO patrons, stakeholders and staff across phone, email, online and face-to-face channels.
  • Being the first point of contact at the Grainger Studio reception desk, welcoming and directing couriers, contractors, musicians, artists, and all other visitors who attend the premises.
  • Reception duties, including managing incoming calls, coordinating couriers and mail.
  • Processing ticket sales, subscriptions, merchandise and complimentary ticketing with accuracy and care.
  • Maintaining and updating customer service records during and after patron interactions.
  • Leading box office shifts at Grainger Studio and external venues, supporting casual staff as required.
  • Supporting a safe workplace through reception-based WHS and security procedures, including visitor sign-ins.

Payroll Coordinator

The Adelaide Symphony Orchestra (ASO) is looking for a detail-driven and people focused Payroll Coordinator to join our team on a fixed term contract to cover parental leave. Working closely with the Finance and People and Culture teams, this role plays a vital part in supporting our musicians and staff by ensuring the accurate and timely processing of the ASO’s fortnightly payroll.

Strong communication skills, a warm, professional approach and a commitment to accuracy, will help build relationships across the organisation with musicians and administration colleagues.

Key responsibilities include:

  • Timely and accurate end-to-end processing of ASO’s payroll fortnightly for over 100 employees, including compliance with relevant Awards and Agreements.
  • Ensuring all statutory requirements are met for the payment and reporting of PAYG tax, superannuation, and Return to Work, including single touch payroll reporting to the ATO.
  • Providing employees with relevant payroll information and forms.
  • Maintaining personnel files, payroll data and audit records.
  • Assisting with general employee enquiries, including forms, notices, information, leave entitlements, and policy or procedure clarification.
  • Providing administrative support to the People and Culture Manager.

We’re looking for someone with experience in end-to-end payroll processing, confidence using payroll systems (MicrOpay experience is valued), and strong accuracy across data entry and record keeping. Strong interpersonal skills, effective communication and the ability to manage time and priorities efficiently will enable you to excel in this role.

POSITION INFORMATION: 

This position is being offered on a on a part-time (0.6FTE), fixed term contract from May 2026 to February 2027, to cover parental leave. The full-time equivalent salary range is $75,000-$82,000 per annum. Based on an 0.6FTE appointment, the pro-rated salary is $45,000-$49,200 per year. Casual Production Assistant – Information Package 

Role Overview 

Our Casual Production Assistants are part of our Production team and are responsible for assisting with the smooth operation of orchestral activities and assisting with maintenance of Grainger Studio. We are looking for people who are practical, hands on, and are passionate about music. 

Casual Production Assistants work across Grainger Studio and the ASO’s other concert venues. There are daytime shifts available, these primarily involve orchestral setup and loading equipment for transport, and evening concert shifts available which involve bumping out staging and other equipment following a concert.  

Casual Production Assistants are supervised by the Production and Venue Coordinators and the Technical and Venue Manager, however, will also work with our orchestral musicians and the wider ASO administration team. 

This is a casual role, and so there are not guaranteed or set hours as shifts will be rostered based on the needs of the ASO. The casual nature of this role may suit a variety of people. We welcome applications from students; people with a second part-time or casual job; people with part-time caring responsibilities; or experienced technical or event staff looking to transition into casual work. 

Key Duties 

  • Assist with the transportation, loading, unloading and setting up of orchestral instruments and seating for rehearsals and concert activities. 
  • Assist in arranging the physical layout associated with orchestral performances including sound and lighting equipment.  
  • Assemble and transport equipment and seating before and after calls. 
  • Support all on-stage duties and stage changes as required.  
  • Carry out minor repairs, maintenance and cleaning of orchestral equipment. 
  • Attend rehearsals, performances and tours as agreed  

Selection Criteria 

  • Demonstrable production and/or technical experience within a performing arts organisation or venue. 
  • Experience delivering high standards of customer care to external and internal stakeholders, including the ability to effectively liaise with a variety of stakeholders and to solve problems constructively and sensitively 
  • Relevant certifications are desirable, including Elevated Working Platform License, Traffic Management, Fire Warden certificate and First Aid Certificate, Portable Equipment Test and Tag.  
  • Basic workshop skills for construction in wood, metal and other materials are desirable. 
  • Ability to develop and maintain relationships with internal and external stakeholders. 
  • Ability to work independently as well as take direction; and manage own workload in the context of the workload of the wider department. 
  • Ability to multi-task and work to competing deadlines. 
  • Flexible approach to work with the ability to adapt to changing circumstances. 

Special Requirements 

  • Capacity and willingness to work outside of normal business hours on a regular basis.  
  • Willingness and physical ability to undertake manual handling requirements as required; ability to participate in the lifting and movement, including, but not limited to moving road cases, musical instruments and other stage apparatus. 
  • Current “C” class driver’s license and ability to travel/tour with the orchestra (mainly within SA, however outside SA and internationally as required) 
  • Prior to commencing employment, the preferred candidate is required to have satisfactorily met the requirements of a Working with Children Check.  

Availability and Rostering 

  • Rostered shifts, outside of standard business hours, are an inherent prerequisite of this position, to meet the ASO’s business requirements. We will typically seek the availability of Casual Production Assistants one month in advance for upcoming shifts, so that rosters can be finalised and distributed  
  • Early morning, evening and weekend work is required for orchestral rehearsals, concerts and activities plus the involvement in the transportation and setting up of equipment.  
  • Shifts run for a minimum of 3 hours, however, can sometimes be longer. Estimated shift duration is noted within the roster; however, this is a guide only.

Casual Box Office Assistant – Information Package

 Role Overview 

Our Casual Box Office Assistants are part of our Marketing and Box Office team, and are responsible for providing friendly, knowledgeable, and professional customer service to our patrons and visitors. We are looking for people who are passionate about music and customer service.  

Casual Box Office Assistants work across Grainger Studio and the ASO’s other concert venues. There are daytime shifts available, which involves serving our patrons and visitors in person and over the phone, and evening concert shifts available. Evening concert shifts are primarily at our external concert venues and involve ticket sales and distribution, patron interaction and program sales.  

Casual Box Office Assistants are supervised by the Box Office and Ticketing Coordinator and the Ticketing and Customer Service Manager, however, will also work with the wider ASO administration team. 

This is a casual role, and so there are not guaranteed or set hours as shifts will be rostered based on the needs of the ASO. The casual nature of this role may suit a variety of people. We welcome applications from students; people with a second part-time or casual job; people with part-time caring responsibilities; or experienced customer service or ticketing professionals looking to transition into casual work. 

Key Duties 

  • Always providing high-level customer service to patrons that includes information on all current Adelaide Symphony Orchestra activities via all channels, including both inbound and outbound sales telephone calls as well as in-person interactions. 
  • Ensuring that ticketholders are aware of the conditions of sale and do not contravene these in any way, e.g. age restrictions, concessionary status etc.  
  • Cashing up at the end of each shift and ensuring all transactions are recorded and accurate. 
  • Ensuring customer service is paramount, including (where appropriate) dealing with customer complaints satisfactorily. 
  • Processing tickets, bookings and subscriptions using the computer system and following box office procedures. 
  • Opening and preparing the box office area, plus other prep for venue opening as required. 
  • Ensuring the entrance foyer is clean and tidy during opening hours. 
  • Ensuring that all publicity, signage, and information on display is accurate, current and that there is sufficient supply in leaflet racks and display boards where necessary. 
  • Providing administrative support to the general office and dealing with general telephone enquiries. 

Selection Criteria 

  • Proven experience in cash handling, an understanding of Point-of-Sale systems in the retail/hospitality sector and familiarity with computers for data entry and reporting. 
  • Sound knowledge and appreciation of orchestral music are highly desirable. 
  • Strong interpersonal skills and customer service experience, particularly on the telephone. 
  • Efficient and adaptable with strong problem-solving skills and attention to detail. 
  • Ability to work in a close-knit environment as part of a team and to work independently. 

Availability and Rostering 

  • Work outside of standard business hours will sometimes be required, based on rostering requirements for our performances. 
  • Ideally, selected candidates will have availability across at least 2-3 days a week. 
  • Rosters are published in advance, so Casual Box Office Assistants generally provide the ASO with their availability a fortnight in advance, to allow rosters to be finalised and shared.
